For integration companies, managing project payments should be straightforward. But in reality, it often isn’t. Whether you're running a one-person shop or leading a team of 100, the process of billing for progress payments, change orders, and services can quickly turn into a time-consuming tangle of documents, emails, and follow-ups.
At D-Tools Cloud, we’ve been listening closely to our customers, and we’ve reimagined invoicing to fit the way integrators actually work. Over the past few months, we’ve rolled out new tools that simplify how you bill clients, streamline communication, and help you get paid faster—all without leaving your project workflow.
A More Flexible, Client-Friendly Way to Invoice
We started by making it possible to invoice multiple payment terms at once. That means if a client has both a progress payment and a change order due, you no longer have to send (and manage) two separate invoices. You can combine them into one clean, easy-to-understand invoice—making it faster for you to send and easier for your client to pay.
We also introduced the ability to add both internal and client-facing notes to your invoices, as well as attach supporting documents like signed proposals or scope changes. This added context can help avoid confusion, reduce back-and-forth, and speed up approvals. And because everything lives inside D-Tools Cloud, you don’t have to dig through emails or file folders to find what you need.
Invoices, Not Just Payment Requests
Unlike our earlier payment request system, the new invoicing functionality gives you full control over how invoices are created, customized, and shared. You can define invoice numbering, edit client and contact details, and even download a polished PDF version for clients who prefer print or email records. If you're using QuickBooks Online, your invoice numbers will sync automatically to keep both systems aligned.
And once a payment is received, the invoice is automatically updated with a “Paid” label—so there's no ambiguity, for you or your client.
Looking Ahead: More Power, More Automation
We’re not stopping here. In the future, we’ll be rolling out itemized invoicing, giving you the ability to list individual products, labor, and services on each invoice. This added transparency helps clients understand exactly what they’re paying for—and helps you stand behind your pricing with confidence.
Built for the Realities of Your Business
These changes are part of our larger goal: to give integrators billing tools that are as professional and reliable as the systems they design and install. Whether you’re managing a single project or scaling across dozens of jobs and clients, D-Tools Cloud is built to help you bill smarter, reduce admin overhead, and get paid without friction.
We’ve made a lot of progress—and there’s more on the way. If you haven’t tried the new invoicing tools yet, now’s the time to take a look.
You take care of the install—we’ll make sure getting paid is just as smooth.
